Job Description

The Production Co-Ordinator is responsible for supporting the Production Management teams in the logistics, crewing and administration tasks relating to event delivery. There is a clear focus on the booking and clerical management of internal and subcontracted Technicians, Local Crew and other freelancer labour for the Event Production Services department and wider business.

Key Duties and Responsibilities:

  • Support the Production and Venues team within Event Production Services (EPS) with the day to day logistics, crewing and administration support required for the delivery of events.
  • Book sufficiently skilled crew from our database to fulfil the requirements of roles from within the department using our dedicated crewing software
  • Generate and issue purchase orders to crew
  • Maintain the subcontractor database
  • Ensure freelancer compliance with regards to documentation and information.
  • Build and maintain relationships with Project Managers, Venue Technical Managers and other service users to better understand and fulfil requirements.
  • Optimise bookings to ensure best use of resources between internal and external crew.
  • Ensure all data in our systems relating to crewing is up to date at all times.

Defining success in this role:

  • The accurate and effective completion of a large volume of clerical work ensuring that data is current, accurate and to approved standards
  • Building strong relationships with the Production Team to ensure that their needs are understood and where possible pre emptive support can be offered
  • Understanding the skills required to fulfil roles and how they differ at the individual job level
  • The ability to keep pace with face changing requirements while maintaining accurate documentation and communication of these changes.

Requirements for the Job:

Technical Skills:

  • Proven IT skills, including use of Microsoft Office (Word, Excel, Access applications and PowerPoint). Working knowledge of an internal e-mail system and electronic diary is essential.
  • Working knowledge of a crew booking system such as team track would be a significant advantage.
  • General understanding/awareness of the event and practical event practices.

Professional Skills:

  • Very strong attention to detail and accuracy.
  • Highly effective at relating to others and working as a member of a team.
  • Deadline conscious and highly organised with the ability to prioritise and multi-task whilst managing a challenging workload and meeting strict deadlines.
  • Willing and flexible approach, with the ability to work on own initiative.
  • Excellent time management and planning skills, forward thinking and able to add value.

Experience and Qualifications:

  • Previous experience of a service scheduling role would be preferable
  • Proven experience in an administration role within a high volume environment, demonstrating the ability to manage workload and meet deadlines.
  • Experience working with internal and external stakeholders to deliver high quality services.
